Birchwood Lane School System has approached us to construct the transition
from their current manual record keeping construct, to a completely electronic setup that
encompasses the applicable State and Federal data storage parameters. The inadequacies of the
current system (paper files) allow for loss or misplacement of information, incorrect information,
or information that is not updated in a timely manner. The update to an electronic database can
house and maintain the required information in safe and more efficient manner. Benefiting not
only the school, but all concerned parties. The "gap" is in taking Birchwood from its current
analog state and moving it over to a fully electronic entity, within all pertinent State and Federal
Guidelines. For each necessary entity, we will have to break out and specify what information is
needed to correctly define then correctly; and how that information is to be maintained and
accessed. In the information tables and flow columns, these can be specified, and all normalized
rules applied. The DBMS will bring Birchwood into line with necessary mandates and provide
access capacity for the administration, instructors, and students.
For Birchwood, the intended parameters that will need to be included in modeling the
database are the following:
-Demographics -- All primary information for students, instructors, and
administrators. This will include names, age, current education year (students),
gender, student, and faculty ID numbers, contact information (students,
instructors, and other administrative faculty). In the case of faculty/administrative
staff -- current position, listed responsibilities/titles, and contact information.

Operational -- Courses currently included in day-to-day operations, course grades.
begin and end dates for semesters, and current information on state testing and
ranking of the institution.
Statistics -- Here the information on student GPAs, student/teacher ratio per class
This can also further break down the information on state testing and comparison
to other districts in the state.
The list above is the baseline of necessary features for the creation of this database. To
round out that baseline, as this information will be accessed in house and by outside sources that
are not under the school's direct control, we will be keeping with the highest State and Federal
requirements that will also include all pertinent high level access safety measures. Construction
of tie back to multiple information points and specific users will also be necessary. In the
construction of this DB, we need to be clear on the end user needs, abilities in the simplest of
frameworks that does not create undo expense and maintenance.
The implementation of logical database models will help in the gathering of further
information and help better detail focus take place. It will show specific attributes for each entity
